Q. What is a GoldBox Tuneup of GoldMine data?
A. GoldBox contains lots of diagnostic and data improvement utilities for GoldMine
data. Collectively, they can
- find and fix potentially serious problems that can lead to permanent data loss;
- detect and correct duplication of data by merging (for Main Contacts), or by
archiving, then deleting the duplications (for relational records);
- archive and delete unlinked or blank "dead" data that is inaccessible in
GoldMine, but which still takes up space in the database;
- report on Main Contact field usage, including User-Defined fields. This reveals
rarely-used fields, and can give a complete profile of the data in specific fields,
when requested.
A GoldBox Tuneup makes use of these utilities and reports, performing actual data
repair and improvement; then reports back to you on what was done, and what
additional improvements you may want to consider. Having a GoldBox Tuneup done on
your data regularly can help keep your database at its best.
Q. What is an "automatic" tuneup?
A. See the list at the bottom of this page for details on what is included. It is not
possible (nor would it be a good idea) to fully automate the use of these utilities; but
what we CAN do is to schedule you for a monthly (or quarterly) Tuneup, at a date and
time that is convenient for you.
After an initial Setup (cost $150), the Tuneup is performed regularly. See below for
detailed pricing; AND see the NOTE at the end of this page about the TUNEUP II
Program at a reduced cost.) A report/summary of results will be provided each month,
and any questions you may have will be answered.
This inexpensive investment can help keep your GoldMine system running at it best.

Tuneup Services include:
- Run the superior GoldBox Merge-Purge with integral data "smoothing".
This helps you avoid the embarrassment of apparently lost information, arising
from duplicate Contact records. The procedure can be done either as an
"intrinsically safe" design (one that cannot find false matches); or as one that is
less safe, but which can show you more possible matches. If you choose the
latter, you receive a Merge-Purge Primer Table to review, confirming matches
and survivor records. Once you have reviewed the Primer Table, simply notify me
and I will then run the Merge-Purge based on the results of your review. (The
Merge-Purge procedure is actually done only after the next two procedures have
been done. Also, the very first act of a Tuneup is to backup your existing
GoldMine.) If you wish, you can have up to 3 different Merge-Purge setups, each
run in successive months.
- Run Contact File Validator and Archive/Remove any of the following, if found:
- Contact1/Contact2 records (unlinked, blank, duped or corrupt)
- History records (unlinked, corrupt or E-mail message missing)
- Additional Contacts (unlinked, blank or corrupt)
- Details (unlinked, or blank)
- Linked Doc records (unlinked, blank, not on disk or corrupt)
- AP Track Events records (unlinked, blank, no AP identified or corrupt)
- Group Members (unlinked, blank or corrupt)
- Referrals (unlinked, blank, singleton or corrupt)
- Alerts (unlinked, blank or corrupt)
The Archives for the above item can be accessed via GoldBox Views, furnished
(requires Pro Version if GoldBox 5 or GXSQL). Only occasionally useful, but can
show you info that is not available any other way.
- Determine whether any Accountnos include a single quote (may cause
inaccuracies when running SQL queries). If so, use GoldBox's Accountno
Regenerator to replace such Accountnos consistently throughout GoldMine with
new Accountnos that do not include a single quote.
- Archive and remove any unlinked E-mails from the Mailbox Table (NOTE:
strongly recommend that you NOT try this one yourself!).
- Run field usage report for Contact1 and Contact2 fields.
- Perform routine GoldBox maintenance.
- (Optional) Verify, and if necessary rewrite, the Primary tag on all E-mail
Address records. Does nothing if exactly one Primary E-mail Address record
exists for a Contact; otherwise makes the oldest E-mail Address the Primary,
and ensures that there is only one Primary. Self-documenting.
- (Optional) History/E-mail Archive created/updated. Most important for older
versions of GoldMine (6.x and below), but can be useful for any version.
- (Optional) Apply and update Main Notes Migrator. Converts Main Notes to
Notes in History records that are dated and Referenced appropriately; then
removes such Notes from the Main Notes tab. Most important for older versions
of GoldMine (6.x and below). Not recommended for GoldMine 8.5 or above.
- (Optional) Run Dedupe and Archive for any of the following types of
relational records: Additional Contacts, Details, History, Calendar, Linked
Documents.:
- (Optional) Rebuild and re-index all GoldMine tables (dBase GoldMine
systems only).
NOTE: Items listed as Optional ARE included in the Quarterly price, if applicable
NOTE: NEW June 10, 2010: For less busy databases, and for thrift-conscious
clients, I'm introducing the TUNEUP II Program. This is exactly the same as the
standard monthly program described above, but instead of performing monthly Tuneup
procedures, I'll do them quarterly.
